Zebra ZD621 setup guide: labels, ribbon, driver and network

Load labels and ribbon, calibrate and connect a new ZD621 over USB, Ethernet, serial or Wi-Fi in the right order, with or without the colour touch display.

    This guide takes a new Zebra ZD621 from the box to a calibrated first label and a working connection. It covers the ZD621t with a ribbon roll and the ZD621d for direct thermal labels. The button steps work on every model; where a colour touch display offers a shortcut, it is listed too.

    You'll need
    • Labels on a 12.7 mm or 25.4 mm core, up to 127 mm roll diameter, 15–118 mm wide (ZD621t) or 15–108 mm wide (ZD621d)
    • ZD621t: a thermal transfer ribbon of 74 m or 300 m, wider than your labels
    • A Windows 10 or 11 PC with administrator rights
    • The USB cable from the box, or a CAT-5 (or better) Ethernet cable

    Before you start

    Check the box

    You get the printer, power supply and cord, a USB cable and the printed guides. The ZD621t adds empty ribbon cores (25.4 mm and 12.7 mm) and two adapters for 300 m ribbons from other brands. Labels and ribbon are not included.

    Choose a good spot

    • A firm, level surface with free space on all sides for cooling. Don't put padding under the printer.
    • A room between 4.4 and 41 °C with 10–90 % relative humidity, non-condensing, out of direct sunlight.

    Know your version

    Version What it means for setup
    ZD621t Ribbon roll of 74 m or 300 m. Do every step.
    ZD621d Direct thermal, no ribbon. Skip the ribbon step.
    Colour touch display Optional 4.3-inch touch screen, standard on some models such as healthcare and RFID versions. Every ZD621 also has five status lights and the buttons.

    Not sure which labels you have? Scratch the print side quickly with a fingernail. A black mark means direct thermal labels; no mark means they need a ribbon.

    Load the labels

    Plug the power cord into the power supply, the power supply into the DC socket on the back of the printer and the cord into a wall socket. Leave the printer switched off for now.

    1. Pull the two release latches towards the front and lift the cover.
    2. Pull the roll holders apart and place the roll between them, with the print side facing up as it runs over the platen roller. The roll must turn freely and must not rest on the bottom of the media compartment.
    3. Pull the end of the labels out past the front of the printer.
    4. Push the labels under both media guides.
    5. Flip the labels up to see the movable media sensor. For gap labels and continuous receipt paper, leave it in the default position. For labels with a black mark, notch or hole on the back, move it to the middle of the mark; see the ZD621 calibration guide.
    6. Close the cover and press down on both front corners until the latches click.

    Load the ribbon (ZD621t)

    Skip this step on a ZD621d. Never load a ribbon when you print in direct thermal mode; the printer reports a ribbon error.

    Check the ribbon first

    • Width: the ribbon must be wider than the labels, including the liner, to protect the printhead. The ZD621t takes ribbons 33.8–109.2 mm wide.
    • Length and core: 74 m ribbons sit on a 12.7 mm core, 300 m ribbons on a 25.4 mm core. Always use an empty take-up core of the same size as the ribbon core.
    • Notches: Zebra ribbons and cores have notches on the left side.
    • Ink side: the ink must be on the outside of the roll. To check, press a label or a piece of clear tape onto the outer surface of the roll and pull it off. Ink particles should stick to it. Zebra warns not to use ribbon wound with the ink inside.

    Fit the ribbon

    1. Remove the wrapping and free the adhesive strip at the start of the ribbon.
    2. With the cover open, push the right end of an empty core onto the spring-loaded right take-up spindle, line it up with the left hub and turn it until the notches lock. For the first roll, use the empty core from the box.
    3. Fit the new ribbon roll on the lower ribbon supply spindle in the same way: right end first, then lock the left end into the notches.
    4. Stick the start of the ribbon to the take-up core with its adhesive strip, or with a thin strip of tape. Keep it straight.
    5. Turn the take-up hub with the top moving towards the back until the leader is covered by ribbon and there is no slack.
    6. Check that the labels are loaded and close the cover.
    7. After you switch on, press FEED until at least 20 cm of labels have come out. This straightens the ribbon and removes wrinkles.
    Tip

    Keep the empty core when a ribbon runs out; it becomes the take-up core for the next roll. A 300 m ribbon lasts four rolls of labels where a 74 m ribbon lasts one, so you change ribbons far less often.

    A 300 m ribbon from another brand needs a fibreboard core with 25.4 mm inner diameter and a roll no larger than 66 mm across. Put it on an adapter from the box with the flange on the left and the ribbon coming off the back of the roll, and centre it on the labels with the scale on the adapter.

    Switch on and calibrate

    1. Press POWER. The lights flash while the printer runs its self-test.
    2. Wait until the STATUS light is steady green.
    3. Press and hold PAUSE + CANCEL for 2 seconds, then let go.
    4. The printer feeds a few labels while it measures them. When STATUS is steady green again, calibration (SmartCal) is done.

    For a new roll of the same labels, press FEED once or twice instead of calibrating again. If labels skip or the printer stops with a red light, use the manual calibration in our calibration guide.

    With the colour touch display

    Touch Wizards on the Home screen. The Set All Wizard runs all wizards in turn; the Print Wizard sets up the key print settings. Use full-width labels for these two wizards, and don't send print jobs from the PC while a wizard runs.

    Print a configuration report

    With STATUS steady green, hold FEED + CANCEL for 2 seconds. The printer prints a configuration report and a network report. On the display, use System › Settings › Print: System Settings. Check:

    • The model and print resolution (203 or 300 dpi) at the top. The driver installer asks for both.
    • PRINT METHOD: on a ZD621t it must read THERMAL-TRANS before you print with ribbon. If it doesn't, set thermal transfer in the driver (next step) and print the report again.
    • On the network report: the IP address, once the printer is connected to your network.

    Install the driver, then connect

    Switch the printer off and connect the cable only when the installer tells you to. If Windows finds the printer first, it shows an "Unspecified device".

    1. Download the Windows driver or Zebra Setup Utilities from the Zebra ZD621 support page.
    2. Run it with administrator rights and leave Run the Printer Installation Wizard ticked on the last screen.
    3. Choose Install Printer Driver, accept the licence and pick the port: USB Port, Network Port for Ethernet or Wi-Fi, Bluetooth Port, or Other for a serial (COM) cable.
    4. If asked, select the ZD621 at the resolution shown on your configuration report.
    5. In the driver's printing preferences, set the print method: thermal transfer on a ZD621t, direct thermal on a ZD621d.

    USB

    Connect the USB cable when the installer asks for it, then switch the printer on. Windows completes the installation.

    Ethernet

    Every ZD621 has Ethernet built in, with a network socket at the back. Connect it to your network. The NETWORK light turns green for a 100 Mbit/s link or amber for a 10 Mbit/s link. Print the configuration report again to read the IP address, then choose Network Port in the installer. On the display, the settings are under Connection › Wired; after changing them, use Connection › Networks › Reset Network so they take effect.

    Serial

    The 9-pin serial port needs a null-modem cable. The printer's defaults are 9600 baud, 8 data bits, no parity, 1 stop bit and XON/XOFF.

    Wi-Fi and Bluetooth

    Wi-Fi with Bluetooth is an option, fitted at the factory or added later as a module through a door under the printer (printer off, cables removed, firmware update afterwards). Set it up with Zebra Setup Utilities on Windows, the Zebra Printer Setup Utility app over Bluetooth Low Energy, or the Connection Wizard on the display.

    Important

    ZD621 printers bought in Europe, the Middle East or Africa from 1 August 2025 can ship with extra security for the EU Radio Equipment Directive. Zebra's FAQ names models with Wi-Fi, or Bluetooth plus Ethernet; USB-only and USB/Ethernet-only models are not affected. A leaflet in the box is the only way to tell. If yours has it, set a Protected Mode password, and a front panel PIN where asked, before network setup. Keep the password safe: Zebra says it cannot be recovered, and resetting the printer does not change the protected settings. Zebra explains the steps in its PrintSecure Printer Administration Guide.

    Frequently asked questions

    Does the Zebra ZD621 have a touch screen?

    Some do. A 4.3-inch colour touch display is optional on the ZD621 and standard on some models, such as healthcare and RFID versions. Other models have five status lights and three buttons, which every ZD621 has.

    Can I use 300 m ribbon in the ZD621t?

    Yes. The ZD621t takes 74 m and 300 m ribbons. Use the adapters from the box for 300 m ribbons from other brands.

    How do I find out if my ZD621 is 203 or 300 dpi?

    Print a configuration report by holding FEED and CANCEL for 2 seconds. The resolution is printed at the top.

    What if I connected the USB cable before installing the driver?

    Windows shows an "Unspecified device". Install the ZDesigner driver and update the device's driver as described in our driver guide.
